This is Relead Oy's privacy notice in accordance with the Finnish Personal Data Act (Sections 10 and 24) and the EU General Data Protection Regulation (GDPR).

4. Legal Basis and Purpose of Processing Personal Data

The primary legal basis for processing personal data is the business relationship between Relead Oy and its customer or stakeholder partner, the customer's or other stakeholder partner's consent, a customer assignment, or another relevant connection.

Personal data may be processed for the following purposes:

  • Managing, providing, developing, and monitoring customer relationships and customer service, as well as related communications and marketing, and organizing relevant information
  • Contacting potential and existing customers and stakeholders
  • Collecting and processing customer feedback and customer satisfaction information
  • Marketing activities

Personal data is not used for automated decision-making or profiling.

5. Content of the Register

The following types of information may be stored about registered individuals:

  • Name, position, organization, language, address, telephone number, email address, website address, social media profile links, and other necessary contact details, as well as billing information and information related to other services ordered
  • Information concerning the implementation of marketing and communications through different channels
  • Content provided by the registered individual, such as customer feedback, as well as additional information provided by the individual about themselves, including survey responses, requests for additional information or materials, interests, or similar information
  • Information about services requested and used by the registered individual, including payment information
  • Information about individuals who have served the registered individual
  • Restrictions, limitations, consents, and other preferences
  • Information about the registered individual's affiliation with a company or other organization, such as employer information
  • Other customer-related information, such as information collected in connection with website use that can be linked to the customer, the user's IP address, time of visit, pages visited, browser type, the web address from which the user arrived at the website, and the server from which the user accessed the website
  • Information related to data processing, such as the date of registration and the source of the information
  • Information about an individual's participation in various events, studies, and meetings, as well as information about proposed, offered, and ordered services and changes to them, information and notes related to the services and their delivery, and information related to data processing, such as the date of registration and the source of the information, where these activities have been organized by Relead Oy
  • With the individual's explicit consent, information may also be collected for various profiles and assessments describing the activities of an individual, team, or organization, and for development initiatives based on such profiles and assessments. The individual may withdraw their consent at any time free of charge by notifying the contact person referred to in Section 1, after which all information relating to them will be deleted from the systems.

IP addresses of website visitors and cookies that are essential for the functioning of the service are processed on the basis of legitimate interest, including for ensuring information security and collecting statistical information about website visitors where such data can be considered personal data. Consent to third-party cookies is requested separately where required.

6. Regular Sources of Personal Data

The information stored in the register is obtained from customers, for example, through messages submitted via website forms, by email, telephone, social media services, contracts, customer meetings, and other situations in which the customer provides their information.

Contact details of representatives of companies and other organizations may also be collected from public sources, such as websites, directory services, and other companies.

7. Retention Period of Personal Data

Information collected in the register is retained only for as long and to the extent necessary in relation to the original or compatible purposes for which the personal data was collected. The basis for retaining and processing register information is assessed at least every five years.

Personal data covered by this privacy notice is retained for as long as the data controller uses the information for managing customer and stakeholder relationships and for marketing purposes, or until the individual requests that the person responsible for the register delete their information.

Relead Oy takes all reasonable measures to ensure that the information does not fall into the hands of unauthorized parties and that inaccurate, incorrect, or outdated personal data is promptly deleted or corrected in relation to the purposes of processing.

8. Right of Access and Right to Request Rectification

Every individual registered in the register has the right to inspect the personal data stored about them and to request the correction of inaccurate information or the completion of incomplete information.

If an individual wishes to inspect the information stored about them or request its correction, the request must be submitted in writing to the data controller. The data controller may, where necessary, ask the person making the request to verify their identity.

The data controller will respond within the timeframe specified in the EU General Data Protection Regulation, generally within one month.

9. Other Rights Related to the Processing of Personal Data

An individual registered in the register has the right to request the deletion of their personal data from the register (the "right to be forgotten").

Registered individuals also have other rights under the EU General Data Protection Regulation, such as the right to request restriction of the processing of personal data in certain circumstances.

Requests must be submitted in writing to the data controller. The data controller may, where necessary, ask the person making the request to verify their identity.

The data controller will respond within the timeframe specified in the EU General Data Protection Regulation, generally within one month.

10. Description of the Data Protection Principles

Relead Oy has implemented appropriate technical and organizational measures to protect personal data against accidental or unlawful loss, disclosure, misuse, alteration, destruction, or unauthorized access.

Relead Oy stores personal data in both paper and digital formats. Paper records are stored in locked premises accessible only to designated individuals who are authorized to access them as part of their duties.

Digital records are stored on servers and are accessible only to predefined individuals who need the information to perform their duties. Access is provided through personal usernames and passwords.

11. Right to Object to the Processing of Personal Data and Direct Marketing

Every registered individual has the right, on grounds relating to their particular situation, to object to processing activities carried out by Relead Oy in relation to their personal data to the extent that the processing is based on the customer relationship between Relead Oy and the registered individual.

The registered individual may submit an objection to the processing of their personal data in accordance with Section 12 of this privacy notice. The individual must specify the particular situation on which the objection is based.

The company may refuse to comply with a request to object where there are grounds provided by law.

The registered individual may give Relead Oy consent to or prohibit direct marketing on a channel-by-channel basis.
